Step 1

Start with task response

Before drafting, identify every required point and decide how direct your tone should be.

  • Circle the purpose: request, complain, explain, persuade, apologize, recommend, or choose.
  • List the required points in order so you do not forget one.
  • Choose tone early: formal, semi-formal, friendly, concerned, or firm.
Step 2

Use a simple structure

Readers should understand your purpose in the opening, follow your details in the body, and see a clear next step at the end.

Opening: I am writing to ask about changing my appointment time.

Body: Explain the reason, give the constraint, and offer two alternatives.

Closing: Thank the reader and state what response you need.

Step 3

Control vocabulary and grammar

Precise, natural language usually beats a forced advanced phrase. Use variety, but do not sacrifice clarity.

  • Replace repeated verbs with precise everyday verbs: arrange, confirm, delay, improve, recommend.
  • Check articles, prepositions, verb tense, and subject-verb agreement in the final minutes.
  • Avoid overlong sentences that hide your main point.
Step 4

Use feedback well

Feedback helps most when you revise one or two habits at a time.

  • If task achievement is weak, rebuild the outline before editing grammar.
  • If tone is weak, rewrite greetings, requests, and closing lines first.
  • If organization is weak, add topic sentences and transitions before adding new vocabulary.
